Privacy Notice

In short: we collect only what we need to reply to your enquiry, give you demo access, and run your account. We don't sell your data. You can ask us to see it, correct it or delete it at any time by emailing support@kenneldesk.co.uk.
1. Who we are
KennelDesk is provided by labSeventeen, a trading name of Bradley Morton Business. We are the "controller" of the personal data described in this notice, which means we decide how and why it is used.

2. What this notice covers
This notice covers personal data about:
- visitors to our website;
- people who send an enquiry or sign up for demo access; and
- kennel businesses that become KennelDesk customers, and their account users.
It does not cover the information that a kennel puts into KennelDesk about its own customers and their animals. For that information the kennel is the controller and we act only as its processor. See section 9.
3. What we collect
- Enquiries: your name, kennel name, email address, phone number, how many kennels or units you have, what you use now, your best time for a call, and your agreement to this notice.
- Demo sign-ups: your name, email address, kennel name and (optionally) phone number.
- Customers: your business and contact details, account and login details, billing and payment records, and our communications with you.
- Technical data: basic information such as your IP address, browser type and the pages you visit, which our hosting provider records in server logs for security and reliability.
4. Why we use it, and our legal basis
- To reply to your enquiry and arrange a discovery call.Our basis is our legitimate interest in responding to people who contact us, and taking steps you ask for before entering an agreement.
- To give you demo access and follow up about KennelDesk.Our basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time.
- To provide the service, take payment and support you.Our basis is that this is necessary to carry out our agreement with you.
- To keep accounting and tax records. Our basis is a legal obligation.
- To keep our website and service secure and working. Our basis is our legitimate interest.
- To protect our rights, for example to recover unpaid fees or deal with a dispute. Our basis is our legitimate interest.
5. Marketing
We will only contact you about KennelDesk in connection with your enquiry or demo sign-up, or if you are a customer. Every marketing email will include a way to opt out, and you can also tell us at any time to stop contacting you. We do not sell or rent your details to anyone.
6. Who we share it with
We use other companies to help us run our business. They may only use your data to provide their service to us:
- Web3Forms, which processes the enquiry and demo forms on our website and passes the details to us by email;
- Our hosting provider ([20i]), which hosts our website and service;
- Our email provider (StackMail);
- our professional advisers, such as accountants and lawyers, and public authorities where the law requires.
7. Transfers outside the UK
Some of the companies above may process data outside the UK. When they do, we make sure appropriate safeguards are in place, such as a UK adequacy decision or the UK International Data Transfer Agreement or Addendum.
8. How long we keep it
- Enquiries and demo sign-ups: for up to12 months after we last spoke to you, unless you become a customer. We will delete them sooner if you ask.
- Customer account records: for as long as you are a customer.
- Invoices and payment records: for six years, which is the period we need for tax and accounting purposes.
- Server logs: for a short period, normally no more than a few weeks.
9. Information kennels store in KennelDesk
Kennels that use KennelDesk store information about their own customers and animals, such as names, contact details and booking history. The kennel is responsible for that information, and we handle it only on the kennel's instructions and under our Terms and Conditions. If you are a customer of a kennel and want to see, correct or delete your information, please contact the kennel first. If you contact us, we will pass your request on to them.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your data, in some circumstances;
- ask us to restrict how we use your data, in some circumstances;
- object to us using your data where we rely on legitimate interests;
- ask to receive your data in a portable format, in some circumstances; and
- withdraw your consent at any time, where we rely on it.
To use any of these rights, email support@kenneldesk.co.uk. We will normally reply within one month. If you are unhappy with how we have used your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
11. Cookies
Our website does not use cookies to track you or to show you advertising. The KennelDesk service uses essential cookies that keep you logged in and keep your account secure. If we add analytics tools or other non-essential cookies in future, we will update this notice and ask for your consent first where the law requires it.
12. Security
We take reasonable technical and organisational steps to protect personal data, including secure hosting and access controls. No system is completely secure, so we cannot promise absolute security.
13. Children
Our website and service are for businesses and are not aimed at children. We do not knowingly collect personal data from anyone under 18.
14. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed. If we make an important change we will tell you.
